Tools in our setup

Suggested in the setup steps below; not named in the source.

Cost: Fireflies free plan, HubSpot Free CRM, Zapier free plan to start.

Set it up

  1. Connect your calendar

Walk me through connecting Fireflies to my calendar so it joins external sales calls only, and how to tell attendees the call is recorded.

    Docs: docs.fireflies.ai/

  2. Decide what to log

Write the summary template to store in the CRM: pain points, budget, timeline, decision makers, objections, next steps with owners and dates.
  3. Build the automation

Build a Zapier zap: when a Fireflies transcript is ready, find the HubSpot contact by attendee email, create a note on the contact and deal with the summary template, and create a task for each next step.

    Docs: help.zapier.com/

  4. Or build it in code

Write a small service that receives the Fireflies webhook, fetches the transcript via the Fireflies GraphQL API (FIREFLIES_API_KEY), and writes a note to HubSpot via the CRM API using HUBSPOT_ACCESS_TOKEN.

    Docs: docs.fireflies.ai/, developers.hubspot.com/docs/api/crm/notes

  5. Check quality weekly

Each Friday, list the week's calls where the CRM note is missing next steps or the deal stage looks wrong, so I can fix them.
Safety: Get consent to record where the law requires it, and tell attendees about the notetaker.

Please:
1. Ask me 3 short questions about my situation (accounts I have, budget, what I want the output to look like).
2. Propose a step-by-step plan using these tools or cheaper alternatives, with the time and cost of each step. Use official pricing pages; say "check pricing" if unsure.
3. Then do the setup with me one step at a time, waiting for my OK before anything that sends messages, posts publicly, spends money or deletes data.
4. Finish with a checklist to run it again next time.
